How do I ask for a formal resolution to a dispute?
Complaint Procedure
Step 1: Ignore the offending user
This is the simplest and most immediate way to deal with any situation. If you’re arguing in a forum, don’t answer back. If you’re in chat, hit ignore.
Step 2: Offer a compromise or an apology
Let the steam out of the situation. Be a grown-up and make the first positive gesture. And mean it—use positive, conciliatory language.
Step 3: Formal complaint
If you need to file a formal complaint, keep documentation:
Chat complaints
Save a log of the chat. There are two ways you may do this:
a) Chat will scroll off the screen and eventually be lost, so it is important to highlight the beginning of the problem onward, copy that section while it's on screen, and paste it to Notepad or a similar application. Continue copying and pasting chat text until there is no longer a problem. Save your log file.
b) Alternately, you may click "Save" at the bottom of the screen. This will copy to another screen everything from the moment you entered the chat to the point you click "Save," but it does NOT save the file to your hard drive. You must do this from the "Save" screen itself, where the File command should appear at the top. Bear in mind that user names will often appear as [], making it difficult to know who has said what. For this reason, the first method (2a) is more useful.
Other complaints
Save the URL of the forum or other part of the site in question, and/or write a detailed, objective description of events. If you rant, or you’re vague, you won’t help your case.
In either case, your complaint should include four things:
a) Issue: please state the issue at hand as clearly and succinctly as possible. This should be 1-2 sentences.
b)Request: please tell us how you’d like to see this resolved. The moderators will make the decision, but if your request is reasonable, we will consider it.
c) Documentation: see above. This should include the time and date it occurred, if in chat or shout. While in chat, timestamps may be activated by pushing the F2 key on your computer.
Step 4: Send email
E-Mail a description of the problem with the log file attached to the team email address found on the
Contact Us page.
Please be patient; you will be contacted as soon as measures have been taken to resolve the issue. Thanks!
